Full-Time Administrative Assistant in Germany

Alpenventures UNGUIDED is seeking a fellow outdoor enthusiast who is as excited as we are about sending our customers on epic and impeccably planned adventures. We are an Adventure Travel company, offering self-guided multi-day adventures, such as hut-to-hut hikes and bicycle tours. This is a home office position, with flexible hours and some location independency.
As a small and young company, Alpenventures UNGUIDED is currently looking for an administrative guru who can provide administrative support for tour planning, partnerships, and back-office tasks. This is an entrepreneurial environment, and the ideal candidate is energized by the opportunity to shape processes and strategies alongside the leadership. Responsibilities:
- Support our Adventure Planning Experts in processing inquiries, and customer bookings, as well as auditing reservations and tour material for the customers, in order to ensure a perfect and stress-free customer experience
- Develop and maintain relationships with existing and new affiliate partners through regular communication and reporting
- Set up customers in the navigation app
- Manage and organize email marketing lists
- Support with the scheduling and administration of our webcast program
- Update the Content Management Systems that drive our website and booking engine, as required
- Resolve on-trip issues quickly and effectively (this will require occasional evening and weekend attention, mostly during the main summer season)
- Assist the Adventure Planning Experts in making reservations for customers and preparing the documentation for customer tours
- Assist with bookkeeping-related tasks
- Social media and marketing-related tasks
- Other duties as assigned
Required Skills:
- Fluent in English and conversational in German
- Tech savvy with the ability to quickly learn and adapt to various applications and online platforms. Experience working professionally with MS Office is required
- Works efficiently across multiple digital platforms
- Strong verbal and written communication skills, both internally with colleagues and externally with customers and service providers
- Utilize translation tools to communicate with service providers in multiple languages
- Work in multiple currencies and measurement units (for example, do frequent conversions between kilometers and miles; meters and feet)
- Ability to understand and empathize with customers’ concerns before, during and after their tour
- Interpersonal and customer service skills
- Resourceful problem-solving
- Working with ambiguity in a constantly changing environment
- Ability to prioritize diverse tasks and meet deadlines
Required Experience:
- Completed multi-day hut hiking tours in the Alps, preferably either the Alta Via 1 or the Tour du Mont Blanc
- Substantial work experience in an administrative position
Candidate must be a legal resident of Germany and be legally permitted to work in Germany
Start date: Around June 1st (negotiable)
Working Location: This is a 100% Home Office position. The candidate must reside in Germany.
Salary: Between 2.200€ and 2.750€ per month (26.400€ - 33.000€ per year) gross pay, dependent on experience

Alpenventures UNGUIDED is looking for a social media guru to increase the social media engagement of our customers while they are on epic, self-guided adventures.
We are an Adventure Travel company, offering self-guided multi-day adventures in the Alps and beyond. Or most commonly booked tours are hut-to-hut hiking tours in the Alps, especially the Tour du Mont Blanc and the Alta Via 1. The aim of this position is to increase engagement of, and interaction with, customers while on tour. We are looking for somebody with proven experience in increasing customer engagement and interaction on social media, and somebody who has experience hut-to-hut hiking in the Alps.
Responsibilities:
- Create and execute a results-driven strategy to engage our customers on social media and to curate user-generated content via Facebook and Instagram
- Identify and track key KPIs
- Develop and maintain a social media calendar
- Interact with users, including via comments and via DM
Qualifications:
- 2+ years of experience creating social media content on Facebook and Instagram in a professional role
- Hut-to-hut hiking experience in the Alps
- Proven experience increasing customer engagement on Facebook and on Instagram
- Ability to connect with and create content that speaks to an American audience
- Proficiency with video and photo editing tools
- Experience using Microsoft Office products (a license for these products can be provided)
- Copywriting and editing skills
- Ability to work with ambiguity in an entrepreneurial environment
- Fluent in English with impeccable grammar and spelling
- Legally registered as a Freelancer or equivalent in the country of operation
Start date: April or May, 2023
April to June 2023: 10 hours per week (3 days per week)
July to September 2023: 20 hours per week (5 days per week)
Working Location: This is a 100% remote and Freelance position. Due to time zones, we prefer the candidate be located in, or near, the Central European Time Zone
Compensation: 25€ to 30€ per hour, depending on experience

- Serve as the point of contact for customer questions before, during and after their tour
- Receive and process customer bookings
- Provide excellent customer service by understanding customers’ needs, setting proper expectations and communicating clearly and timely
- Make reservations with Service Providers for customers’ tours, which includes processing and documenting deposit payments
- Process cancellations and communicate timely and clearly with service providers
- Verify all details of the customers’ tour bookings and planning are correctly organized and thoroughly communicated with the customer
- Provide customers with complete and accurate documentation required for their tour
- Resolve on-trip issues quickly and effectively (this will require occasional evening and weekend attention, mostly during the main summer season)
- Ensure the tour is enjoyable for customers before, during and after
- Documentation of customer and service provider interactions, as well as keeping key customer and service provider data current
- Maintain strong relationships with our Service Providers
Required Skills:
- Fluent in English, preferably conversational German and/or basic French language skills
- Utilize translation tools to communicate with service providers in multiple languages
- Read and interpret a topographical map
- Understand and plan complex travel itineraries, often involving multiple segments in one day
- Work in multiple currencies and measurement units (for example, do frequent conversions between kilometers and miles; meters and feet)
- Interpersonal and customer service skills
- Strong verbal and written communication skills, both internally with colleagues and externally with customers and service providers
